IMPORTANT NOTICE RE THE PROTECTION OF PERSONAL INFORMATION ACT 4 OF 2013

1.What is POPIA about?
POPIA promotes the protection of personal information. All Public and Private Bodies must be compliant with POPIA by 1 July 2021.
Helios Maritime and Trading CC (“Helios”) acknowledges and supports the right to privacy of all its contracting parties.


2.What is personal information?
Personal information is any information relating to an identifiable, living, natural or existing juristic person (data subject).


3.Why does Helios collect personal information?
Helios will only collect and process your personal information (either directly or through our service providers) if there is a lawful purpose for doing so and as required by the laws of the Republic of South Africa.

The contracting parties will at all times be informed regarding the information they are required to provide and will, on inquiry, be informed for what specific reasons they are required to provide such information for purposes of transparency and full disclosure.


4.What personal information will Helios collect and process?

4.1.Full names and surname;
4.2.Identity number;
4.3.Physical Home address;
4.4.Postal addresses;
4.5.Details of employment;
4.6.Home, work and cell phone contact numbers; and
4.7.Email address; and
4.8.Information regarding family background, health, previous employment and education history and any other information which Helios believes to be reasonably necessary in order for them to employ their employees and provide them with a safe working environment.

In addition, contracting parties who are juristic persons can expect to provide the following information:

4.9.Full registered name;
4.10.Trading name (if any);
4.11.Registration number;
4.12.VAT Registration number;
4.13.Postal address;
4.14.Street address;
4.15.Telephone and Cell phone contact numbers;
4.16.Email address;
4.17.Type of Juristic person;
4.18.Name, Address and contact numbers of the Partners or directors or like;
4.19.Accountants or Auditors contact details;
4.20.Registered office of their Auditors; and
4.21.Debtors can expect to have questions posed regarding their asset value, annual turnover, premises location, landlord details, mortgage loans, book debts and debts of debtors, customers and independent service providers may have ceded or are standing security for an the financial status of their owners, directors, members or the like.


5.Indemnity
By contracting with Helios, you indemnify and hold the company harmless from any loss, damages, or injury that you may incur as a result of furnishing incorrect or incomplete Personal information to us.

Should you not consent to all or some of your Personal information being processed as set out above, please send an email stating same to the Information Officer’s email address below. Such correspondence must detail which Personal information may not be processed and confirm that you are duly authorised to advise Helios of your dissent. Dissenting contracting parties are to note that should you not permit the company to receive and process Personal Information as may be required, this could result in amendments or cancellation of existing contracts.
